A Simple Wedding Day Timeline for Indoor and Outdoor Venues in Carrollton, TX

Indoor and Outdoor Venues

Planning a wedding in Carrollton means you have access to spaces that genuinely work for both large celebrations and more intimate gatherings. At Dallas Palms, we host weddings across our three ballrooms and matching gardens, so we’ve seen every kind of timeline play out in real time. Whether your guest count is 80 or 450, the flow of your day matters more than most couples realize until they’re living it.

How a Well-Planned Timeline Sets the Whole Day Up

A wedding timeline isn’t just a schedule. It’s the invisible architecture that keeps your guests comfortable, your vendors on track, and your own nerves steady. We work closely with couples during their planning consultations to build a sequence that fits the specific space they’ve chosen, whether that’s the Malibu Ballroom with its two grand staircases and central chandelier, the Melrose Ballroom that opens directly to a covered patio and garden, or the Bel Air Ballroom with mezzanines on both sides and garden access for up to 500 guests. Each space moves differently, and your timeline should reflect that.

This kind of planning is especially important for Indian and Pakistani wedding ceremonies and celebrations, Nepali weddings and cultural events, and Hispanic weddings, parties, and cultural festivals, where ceremony rituals, costume changes, or cultural traditions can add meaningful time that a generic template won’t account for.

Morning and Early Afternoon Setup

Most events at Dallas Palms begin with bridal and groom suite access two hours before the event starts. That window is built into every ballroom package, and it gives your wedding party a private space to get ready, settle in, and take portraits without rushing into the main hall. We recommend using this time to capture getting-ready photos in the suites and then moving outside for garden portraits while the light is still soft.

For Desi family gatherings and social events or Nigerian events, ceremonies, and community functions, this window also gives families time to coordinate traditional elements before guests arrive.

Ceremony Timing Across Indoor and Outdoor Spaces

The Bel Air Garden, at roughly 10,000 square feet, holds between 250 and 300 people for a ceremony. It features an upper ceremony space with an arbor and water feature, plus a lower-level turf area with a waterfall and fire pit lounge. The Melrose Garden, about 5,000 square feet, holds up to 160 and has two pergolas with string lights overhead. The Malibu Garden is the most intimate at around 4,000 square feet, with a ceremony arch, water feature, and a full string light canopy above.

Indoor and Outdoor Venues

If you’re planning an outdoor ceremony followed by an indoor reception, building in a 30 to 45 minute cocktail hour between the two gives your team time to complete any final setup in the ballroom while your guests enjoy drinks and light bites.

Reception Flow and Dinner Service

Each ballroom rental includes four hours of facility time. For most receptions, that breaks down into a grand entrance, first dances, dinner service, toasts, and then open dancing. Dallas Palms offers in-house catering with tiered menus ranging from a Gold selection with two appetizers and an entrée to a Diamond menu with two entrée choices and an expanded side selection. Buffet setups and late-night food stations are also available.

For American multicultural events, corporate gatherings, and private parties, the flexibility of the buffet packages, including options like the Tex-Mex Traditional, Mediterranean, or Taste of Italy spreads, means every guest at your table finds something familiar on the menu.

One room attendant is included with each ballroom rental, and full setup and teardown is handled by our staff, so you’re not managing logistics at the end of the night.
