Decor, lighting, and AV are the first things people register when they walk in, and they are also the three things most likely to get pushed to the last month. At Dallas Palms, all three are handled in-house. One of our couples told us the decor and the overall feel of the room went past what they had pictured, and that the planning never felt heavy. Here is how to use those three pieces so your event looks finished instead of assembled.
To create a polished event, choose the room first, then build decor, lighting, and AV around it. Use an in-house decor team for linens, centerpieces, and setup, colored uplighting to shift the mood, and on-site AV like screens, microphones, and live streaming. Coordinating all elements through one team prevents gaps between vendors and reduces planning stress.
Start With the Room, Then Build Everything Around It
The room sets the limit for everything that follows, so choose it first. Bel Air is our largest ballroom, with mezzanines on both sides and seating for up to 500 guests inside. Melrose has a central staircase and opens onto a covered patio and garden, with seating for up to 170. Malibu has two staircases and a central chandelier, with seating for up to 120. Each ballroom can be booked on its own or paired with its matching garden. Once the space is settled, the decor plan, the lighting plan, and the AV plan all get easier, because you are working with the room instead of against it.
Let the In-House Decor Team Carry the Load
All decor at Dallas Palms is done by our own team. That covers linens in black, ivory, or white, table overlays and napkins in the color you choose, centerpieces, place settings, and decor for the buffet and cake tables. We work from our own inventory or source to your mood board, so a specific bloom, a color palette, candelabras, or a table of vintage family photos are all possible. Setup and takedown are included, and we clean during and after the event. Couples also get a consultation for decor and room design layout, and that is the meeting to bring photos, swatches, and anything else that shows what you are picturing.
Use Lighting to Change the Mood Without Changing the Room
Uplighting and ambience lighting come with your room rental, and colored uplighting is built into our packages. A warm wash on the walls through dinner and a color change when the dancing starts can make one room feel like two, and it costs you nothing extra to plan for. Outside, the gardens bring their own light. Melrose Garden has two pergolas strung with lights. Malibu Garden sits under a string light ceiling, with a ceremony arch and a water feature. Our garden lighting ideas also include uplighting architectural features, pin spots on the centerpieces, a disco ball as a focal point, and chandeliers hung in the trees.

Sort Out AV Before the Week Of the Event
AV is where a good event quietly comes apart. We have a screen and projector, microphones, a sound system, and live streaming on site. Decide early what really needs to be seen and heard: a photo slideshow, a toast the back row has to catch, a first dance playlist, a speaker with a deck, or family watching from another country who cannot fly in. Live streaming matters more than most people expect, so ask about it on your tour rather than at the rehearsal. For corporate programs, build the screen and the microphone into the room layout from the start instead of working around tables that are already set.
Match the Look and the Sound to the Celebration
Every celebration leans on these three pieces differently. Nepali weddings and cultural events need clear sightlines so elders can follow the ritual. Indian and Pakistani wedding ceremonies and celebrations run long and ask a lot of the sound system and the staging. Desi family gatherings and social events need room to move and music that carries. Hispanic weddings, parties, and cultural festivals want a dance floor that stays full and lighting that keeps pace. Nigerian events, ceremonies, and community functions bring big guest counts and strong color. American multicultural events, corporate gatherings, and private parties usually want a clean stage, a microphone that works, and a room that photographs well. The plan should follow the celebration, not a template.
