Start with the Space and Your Guest Count
Your caterer needs a headcount and a floor plan before they can quote you, so lock the space in first. Bel Air is our largest ballroom and seats up to 500. Melrose seats up to 170. Malibu seats up to 120. Every ballroom package includes 60-inch round tables with Chiavari chairs and buffet tables, which is usually the first thing an outside caterer asks about. Ballrooms can be booked with their gardens or on their own, so a garden ceremony with an indoor reception is normal here.

What We Provide and What Your Caterer Brings
Our ballroom packages include four hours of facility rental, tables and chairs, linens in black, ivory, or white with matching napkins, buffet tables, a room attendant, bridal and groom suites with two hours of access beforehand, a one-hour rehearsal a day or two ahead, and a consultation on decor and room layout. This is the one piece we keep in-house. All decor at Dallas Palms is done by our team, working from a large inventory and whatever palette or mood board you bring us. A decor and layout consultation comes with your ballroom, and uplighting and ambience lighting are included with the room rental. So while you’re free to choose your own caterer, you won’t need to chase a decorator, a linen company, and a lighting vendor too.
Build the Day Backward from the Ceremony
With the caterer and the space settled, the timeline is mostly arithmetic. Decide whether the ceremony sits in a garden or a ballroom, then work backward through the cocktail hour, the buffet, the toasts, and the dancing. Your suites open two hours before the event, and a one-hour rehearsal a day or two ahead comes with the package. Send the timeline to your caterer, and ask us about vendor arrival and setup windows so nobody ends up in the parking lot holding hot trays.
